01 Overview
This policy explains what personal data Shantha Hi Tech collects, why we collect it, how long we keep it and what you can ask us to do with it. It covers this website and the services we run for clients.
Where we build and host a site for a client, that client is the data controller for their own visitors’ data and we act as their processor. This policy covers our own role.
02 What we collect
- Enquiry details Your name, email address, phone number and whatever you tell us about the project, when you contact us.
- Client records Billing details, contract documents and correspondence for the duration of an engagement.
- Technical data IP address, browser type, device type and pages visited, collected when you browse this site.
- Content you supply Anything you send us to publish, which may itself contain personal data belonging to third parties.
We do not knowingly collect special category data, and we ask that you do not send it to us unless it is genuinely necessary for the work.
03 Why we use it
- To respond to enquiries and quote for work — on the basis of taking steps at your request before entering a contract.
- To deliver the service you have commissioned — on the basis of performing our contract with you.
- To invoice and keep accounts — on the basis of our legal obligations.
- To improve this site and understand which pages are useful — on the basis of our legitimate interests, balanced against your rights.
We do not sell personal data, and we do not use it to build advertising profiles.
04 Cookies and analytics
This site uses only what is needed to make pages work and to understand aggregate traffic. We do not run third-party advertising trackers.
You can block or delete cookies in your browser settings. Blocking essential cookies may stop parts of the site working.
05 Who we share it with
We share personal data only where it is necessary to run the business, and only with organisations bound to protect it:
- Hosting and infrastructure providers that store the data.
- Payment processors, which handle card details directly — we never see or store full card numbers.
- Accountants and professional advisers, where legally required.
- Authorities, where we are compelled by law to disclose.
06 International transfers
Some providers we rely on store data outside your country. Where that happens we take steps to ensure an equivalent standard of protection travels with it.
07 How long we keep it
- Enquiries that do not become projects — deleted after 12 months. If requested we will delete it immediately.
- Client records — kept for the engagement plus 8 years afterwards as per the law.
- Invoices and accounting records — kept for the period the law requires, currently 8 years.
- Site analytics — retained in aggregate only.
08 Your rights
Subject to the law that applies to you, you can ask us to give you a copy of the personal data we hold about you, correct it if it is wrong, delete it, restrict how we use it, or object to a particular use. You can also ask for it in a portable format.
Making a request
Email shanthahitech26@gmail.com with “Data request” in the subject line. We will respond within a reasonable time period and will not charge for a reasonable request.
09 Security
Everything we host is served over TLS, access to client systems is limited to the people who need it, and administrative accounts require multi-factor authentication.
No system is perfectly secure. If a breach affects your data and is likely to present a risk to you, we will tell you and the relevant authority within the timeframes the law sets.
10 Changes to this policy
We update this policy when our practices or the law change. The version published here, with the date at the top of the page, is always the current one. Material changes will be notified by email to active clients.
